Quay Medics Privacy Policy

  • Health information – clinical notes, treatment provided at events, medical history relevant to care, medications administered, and allergies.
  • Administrative information – incident reports, event documentation, billing or insurance details (where relevant).
  • Communication records – phone calls, SMS, emails, online forms, and digital incident report submissions.

How We Collect Your Information

We collect personal and health information:

  • Directly from you when you receive care from our staff or complete an incident form.
  • Through digital reporting tools completed by our medics during or after treatment.
  • From authorised third parties (e.g., ambulance services, hospitals, or other healthcare providers) with your consent or where legally required.
  • From clients (e.g., schools, sporting clubs, event organisers) who engage Quay Medics for medical coverage.

How Your Information Is Stored

  • All personal and health information is stored electronically on secure, cloud-based systems (including Airtable), compliant with industry standards.
  • Data is password-protected, access-controlled, and encrypted where appropriate.
  • Only authorised Quay Medics staff have access to your information, and solely for clinical or administrative purposes.
  • Client-facing reports are generated digitally and may be shared via:
    • Automated secure emails, or
    • Password-protected client portals.

Use of Your Information

Your information is primarily used to:

  • Provide safe and effective medical care at events and workplaces.
  • Create accurate incident reports for clients, insurers, and regulators.
  • Support communication between Quay Medics and event organisers.
  • Meet legal, insurance, and compliance obligations.

We may also use your information to:

  • Confirm and manage event bookings.
  • Send post-event reports and safety summaries to clients.
  • Provide important service updates (e.g., changes to policies, compliance information).

You may opt out of non-essential communications at any time by following the instructions provided in the communication.

Disclosure of Information

We will not disclose your personal or health information to third parties without your consent, except where required or authorised by law. This may include:

  • Responding to serious threats to life, health, or safety.
  • Mandatory reporting of notifiable diseases or child protection concerns.
  • Legal proceedings, subpoenas, or investigations into unlawful activity.

With consent, we may share information with:

    • Hospitals, ambulance services, or other healthcare providers involved in ongoing care.
    • Insurers, employers, or event organisers where relevant to your treatment or incident.

Access and Correction

You have the right to request access to, or correction of, your personal or health information. Requests can be made in writing to operations@quaymedics.com.au, and we will respond within a reasonable timeframe in line with privacy legislation.

Data Retention

Quay Medics retains incident and health records for the minimum period required under NSW regulations:

  • 7 years from the date of the last record, or
  • Until age 25 for records created when the patient was under 18.

After this time, records are securely destroyed or permanently de-identified.
