General Cancellation Policy:

• Bookings cancelled with a minimum of 14 business days’ notice will not incur a fee.
• Bookings cancelled with less than 14 business days’ notice will incur a 100% cancellation fee.

Weather & Ground Closures Policy:

• Bookings cancelled with 2 business days’ notice due to forecast weather or ground closures will incur a 50% cancellation fee.
• Bookings cancelled with 1 business days’ notice due to forecast weather or ground closures will incur a 100% cancellation fee.
• Bookings cancelled on the day of the event will incur a 100% cancellation fee in all circumstances. 

Event Operations

• Ice will be available at all events and will be charged to the client together with an administrative surcharge, unless otherwise agreed. Medics will conduct an assessment of each individual prior to providing ice.
• Parking costs will be charged to clients along with an administrative surcharge. Where a venue provides validated parking, our Medics will validate their tickets and parking will be invoiced at the validated rate, inclusive of the administrative surcharge.

Billing

Invoices are issued via Xero. 

• For regular clients, invoices will be sent monthly.
• For occasional bookings, invoices will be issued after the event
